Safeguarding Adults Policy
Code of Conduct
1. Purpose
The Sengoku Martial Arts Code of Conduct establishes the standards of behaviour, professionalism, and safety for all instructors, staff, students, and visitors. It reflects our commitment to fostering a respectful, disciplined, and inclusive environment, while upholding the values of martial arts and ensuring the highest standards of safety, particularly when working with children.

2. Uniform and Presentation
All staff, instructors, and students are required to maintain a clean, professional, and consistent appearance while representing Sengoku Martial Arts.
2.1 Staff and Instructor Uniforms
· Instructors and staff must wear the designated Sengoku Martial Arts uniform, including:
o Official dojo gi (martial arts training uniform)
o Appropriate belt as per rank and qualifications
o Clean, closed-toe footwear (where applicable)
· Uniforms must be clean, well-maintained, and neatly pressed at all times.
· Hair should be tied back if long, and minimal jewelry is to be worn for safety reasons.
2.2 Student Uniforms
· Students must wear the official dojo gi with their appropriate rank belt.
· Uniforms must be kept clean and presentable.
· Any required protective gear (e.g., gloves, shin guards, mouth guards) must be brought to every class and maintained in good condition.
· Uniform modifications for medical, religious, or accessibility reasons are permitted with prior approval.

3. Behaviour and Professionalism
All staff, instructors, and students must display the highest level of respect, discipline, and professionalism at all times.
3.1 Instructor and Staff Conduct
· Instructors must act as role models for students, demonstrating respect, humility, discipline, and dedication to martial arts principles.
· Staff must:
o Arrive on time for all classes, events, and meetings.
o Use respectful, positive, and age-appropriate language at all times.
o Avoid any form of harassment, bullying, or discriminatory behaviour.
o Address conflicts professionally and through proper channels.
· Maintain a positive learning environment, fostering encouragement, discipline, and constructive feedback.
· All staff must abide by the school’s policies regarding equal opportunities, safety, and inclusivity.
3.2 Student and Parent Conduct
· Students must show respect to instructors, peers, and visitors at all times.
· Students are expected to:
o Bow upon entering and exiting the dojo.
o Follow instructions promptly.
o Maintain focus and discipline during training sessions.
o Refrain from disruptive behaviour.
· Parents/guardians must:
o Promote respect and support for instructors and staff.
o Address concerns through formal channels (e.g., email, meetings).
o Avoid interfering with class sessions or coaching their children during training.
3.3 Prohibited Behaviour The following behaviours are strictly prohibited:
· Aggressive, abusive, or violent conduct
· Harassment, bullying, or discriminatory language or actions
· Disrespecting or undermining instructors and peers
· Misuse of martial arts skills outside the dojo (e.g., fighting or intimidation)
· Engaging in inappropriate or unprofessional relationships

4. Standards for Working with Children and Vulnerable Individuals
The safety, well-being, and development of children are of the utmost priority. All instructors and staff must comply with safeguarding standards.
4.1 Safeguarding Responsibilities
· All instructors working with children must undergo a criminal background check and relevant child protection training.
· Staff are expected to:
o Prioritize the physical, emotional, and mental well-being of children at all times.
o Follow appropriate safeguarding guidelines, including mandatory reporting of any concerns regarding a child’s safety or welfare.
o Avoid one-on-one interactions in private spaces; all meetings must occur in visible or supervised areas.
o Use age-appropriate language and instruction methods when teaching children.
4.2 Behaviour Around Children
· Staff and instructors must never:
o Engage in inappropriate physical contact.
o Use demeaning, intimidating, or harmful language.
o Develop personal relationships outside of professional boundaries.
· Physical contact for the purpose of instruction or correction is allowed but must be:
o Explained clearly to the student beforehand.
o Non-invasive, appropriate, and directly related to martial arts training.
4.3 Parental Involvement
· Parents are welcome to observe training sessions but must remain respectful and refrain from disrupting classes.
· All communication with parents must be professional and transparent.

5. Health and Safety Standards
The dojo must be a safe and healthy environment for all participants.
· The dojo must be kept clean, safe, and hazard-free at all times.
· All equipment must be regularly inspected for safety and maintained.
· Students and staff must report injuries immediately.
· First-aid kits and emergency contact information must be readily available.
· Students exhibiting symptoms of illness must refrain from attending class until fully recovered.

Failure to adhere to this Code of Conduct may result in disciplinary action, including suspension or dismissal.
· Instructors and staff will address minor infractions with verbal warnings and guidance.
· Serious or repeated violations will be escalated to formal disciplinary action.
· All complaints and concerns will be handled fairly, transparently, and confidentially.
